Healthcare Administrative Specialist - Part Time

Location: Mansfield, TX

Position Summary: The Healthcare Administrative Specialist serves as a key liaison between patients and the healthcare team, ensuring efficient administrative operations in a medical setting. This role is responsible for patient communication and involves managing a high volume of incoming calls, appointment scheduling, insurance verification, and maintaining accurate medical records. The ideal candidate is detail-oriented, professional, and committed to delivering excellent customer service in a fast-paced environment.

Key Responsibilities:

  • Answering Calls: Respond to incoming calls from patients, healthcare providers, and other stakeholders efficiently and professionally.

  • Appointment Scheduling: Schedule, reschedule, and cancel patient appointments using the clinic’s electronic health record (EHR) system.

  • Patient Inquiries: Address patient questions and concerns, providing information on services, procedures, and appointment details.

  • Message Taking: Accurately document and relay messages to appropriate healthcare providers or departments.

  • Insurance Verification: Assist in verifying patient insurance coverage and eligibility prior to appointments.

  • Patient Registration: Update and maintain patient records in the EHR, including demographics, insurance information, and contact details.

  • Problem Resolution: Address patient complaints or issues promptly and escalate them to the appropriate personnel when necessary.

Qualifications:

  • Ability to work 7:30am - 12:30pm Monday through Friday

  • High school diploma or equivalent required. Additional certification in medical office administration or related fields is a plus.

  • Minimum of 3-5 years of experience in a medical office or similar administrative role.

  • Proficiency in EMR systems.

  • Strong understanding of medical terminology, insurance processes, and HIPAA regulations.

  • Excellent organizational skills, communication skills, and ability to multitask and handle a fast-paced work environment.

  • Bilingual skills (preferred but not required).
