Office Manager/MA/Surgery Scheduler

Location: Fort Worth, TX

Key Requirements:

  • Experience: 5+ years of experience in a back office setting, a surgical office is a plus. Must also have insurance and billing knowledge.
  • NextGen Experience (Plus): Familiarity with the NextGen Electronic Health Record (EHR) system is a significant advantage, as it would reduce the learning curve for the new hire.
  • Spanish Speaking (Plus): Bilingual in Spanish is helpful but not required.
  • Must be willing to travel to Arlington and Fort Worth offices
  • Will be required to fill in as needed for both front and back office roles.

Responsibilities:

  • Administrative / Practice Team Liaison Tasks
    • Supervising front and back office staff
    • Submitting invoices to accounts payable
    • Submitting Daily Batch logging forms
    • Approving and submitting time clock
    • Working Task log
    • Answering incoming medical questions
    • Pre-authorizing surgeries: Obtaining approval from insurance companies before surgical procedures.
    • Obtaining patients' out-of-pocket costs for surgery
    • Scheduling surgery: Coordinating surgery dates and times with patients, surgical facilities, and the physician.
    • Creating surgery orders: Preparing the necessary documentation and instructions for the surgical procedure.
  • Clinical Support:
    • Assisting the physician with in-office procedures: Providing support during examinations and minor surgical procedures.
    • Rooming patients: Escorting patients to examination rooms and preparing them for their appointments.
    • Entering intake information into EHR: Documenting patient history, vital signs, and other relevant information in the electronic health record system.
    • Ordering CTs, labs, and pathology
    • Submitting referrals to other specialists.

In summary, this job requires an experienced medical office professional with strong organizational and communication skills, the ability to multitask, and ideally, experience with the NextGen EHR system.
