Client Services Manager

Location: North Richland Hills, TX

Position Overview

Join Privia Laboratory as a Client Services Manager, a key leadership position focused on managing daily phlebotomy operations, courier routes, and fostering strong relationships with healthcare providers throughout the Dallas/Fort Worth Metroplex. You will lead and mentor a team of field-based phlebotomists and couriers while serving as the vital link between the laboratory and clinical teams. Your role is essential in delivering high-quality, efficient, and patient-centered care, while proactively enhancing provider satisfaction and operational excellence.

Phlebotomy Management Responsibilities

  • Lead, supervise, and support a team of office-based phlebotomists, ensuring adherence to clinical standards and safety protocols.
  • Provide ongoing training, mentorship, and performance feedback to foster professional growth and high-quality care.
  • Oversee scheduling, manage staffing coverage, and step in to provide hands-on support when needed.
  • Conduct regular, unannounced site visits to assess phlebotomist performance and maintain quality standards.
  • Manage inventory and deliver laboratory supplies to clinics, ensuring operational continuity.
  • Monitor and maintain accurate records of clinic visits, staff interactions, and provider feedback.
  • Communicate effectively with internal teams and clinic partners, ensuring transparency and responsiveness.
  • Monday–Friday Morning: Conduct field visits, engage with clinic teams, and monitor quality and supply delivery
  • Friday Afternoon: Prepare and deliver detailed reports to the lab leadership team covering clinic visits, provider concerns, and positive feedback.

Additionally, coordinate and plan clinic visits for the upcoming week.

  • Act as the primary point of contact for phlebotomy related items for providers, addressing concerns and gathering feedback to continuously improve services.
  • Develop and implement strategies to enhance provider satisfaction and streamline workflow integration.
  • Facilitate provider education on phlebotomy processes and best practices.
  • Build and maintain strong, collaborative relationships with clinic staff and leadership.

Courier Management Responsibilities

  • Oversee daily operations of courier drivers, ensuring route efficiency and timely deliveries.
  • Maintain and update courier pick-up and delivery schedules to optimize routes and maximize productivity.
  • Monitor driver performance, provide guidance, and address any operational issues as they arise.
  • Serve as the primary point of contact for drivers regarding schedules, routes, and dispatch instructions.
  • Ensure compliance with company standards and safety regulations for all scheduled routes and courier activities.
  • Step in to manage or cover courier pick-up and delivery schedules if the primary courier is unavailable or absent.
  • Communicate schedule changes to clients and internal teams promptly and professionally.
  • Track and report key metrics such as delivery times, missed pick-ups, and driver attendance.

Qualification

  • Minimum 4 years of supervisory or management experience in phlebotomy
  • Experience in office-based phlebotomy environments preferred
  • Demonstrated leadership, organizational, and interpersonal skills
  • Proven ability to deliver exceptional customer service and communication
  • Proficient with scheduling systems and Laboratory Information Systems (LIS)
  • Comfortable working independently and adapting to multiple clinic settings
  • Valid driver’s license and reliable transportation
  • Ability to pass a background check
  • Resourceful, adaptable, and solutions-oriented

Schedule & Location

  • Location: Dallas/Fort Worth Metroplex (95% field-based travel to clinics) ? Job Type: Full-time
  • Schedule: Monday–Friday, Day Shift

Compensation & Benefits

  • Salary Rate: $57K to $60K + quarterly bonus up to $1200 per quarter. Must meet contact metric: see the established offices 100% per month, follow up email as proof of visit.
