Human Resources Assistant

POSITION SUMMARY DESCRIPTION:

The Human Resources Assistant provides administrative support for the onboarding process as well as personnel action change support. This role is responsible for processing onboarding documentation, verifying compliance with policies and procedures as well as supporting the front desk functions for the HR Department. The Human Resources Assistant ensures that required new hire paperwork is collected, checked for completeness and accurately entered into the HR systems, while maintaining confidentiality and compliance with data protection laws.

Essential Functions

  • Support onboarding logistics: Orientation schedule, background checks, licensures and communicating instructions to new hires.
  • Provides support for personnel action change entries and verification.
  • Maintain HR records: Data entry, updating electronic and physical files and monitoring expiration dates.
  • Providing basic employee support by responding to routine inquiries from employees.
  • Maintain confidentiality: Handles personal and sensitive information in accordance with data protection policies and applicable laws.
  • Perform other related administrative duties as assigned.
  • Assist with preparation of government reports.
  • Assist with front desk functions on a rotation coverage: Greeting visitors, answering and directing phone calls, and managing incoming mail when the front desk person is not available.

Required Skills

  • Knowledge of onboarding processes and HR administrative procedures.
  • Familiarity with data entry, document management, and office software applications. (i.e. Human Resources Management Systems (Proliant Ready Pay Online a plus), word processing, spreadsheets, etc.)
  • Familiarity with the Affordable Care Act (ACA) guidelines.
  • Ability to follow detailed instructions and established policies and procedures.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to type 50+ wpm
  • Ability to maintain confidentiality in handling sensitive information complying with data protection laws.
  • Ability to work as a team within the HR Department as well as with other departments.
  • Proficient with Microsoft Office Suite, Google Suite or related software.
  • High school diploma or equivalent required.
  • Human Resources certification is a plus.
  • Three (3) years of general office or administrative support experience, including at least one (1) year of related experience in human resources.
